In the high pressured environment of Duty/Intake teams and Emergency Duty teams, staff are having to quickly familiarise themselves with cases before making important decisions. There is a constant risk that they may miss some vital information that could have affected how they responded.

Sources of Client Information
Total View is based around the social care MIS system and its own document management system, and provides a view of various aspects of a client's records to care workers and other agencies. However Total View also provides the technology to connect to other sources* of information about a client, which means the user is much better informed. For example, other information may come from:
  • Separate databases held by the council for other purposes e.g. youth offending
  • Old databases no longer in use, but with useful historical data
  • External data sources (from other agencies)
Total View contains the tools required to connect to these data sources and to retrieve data from them for a specific client. The tools include facilities to locate and link client records in other data sources to MIS clients.

Searching for Clients
Search facilities make it easy to find a client by various search criteria such as name, address, date of birth and identification numbers. Optionally, aliases can also be included in the search. Users can simultaneously search all databases connected to TotalView even if they do not have direct access to them. This means that if a client is not known in the MIS, The practitioner will have access to other potentially important information.

Security and Accountability
All access to client records is logged, users who do not have a relationship with the client are challenged and required to record their reason for viewing the client's records.

*For the technical: Total View can access SQL databases (e.g. MS SQL Server, Oracle, MS Access), XML , Web Service, APIs, CSV (spreadsheet) files or Fibonacci can build an adapter to access the data.
