Share and Discuss Tasks
Total View Tasks is a central point where users can come together to share information about clients or documents or just their day-to-day activities. Managers can assign tasks to members of their teams or to teams in general. Tasks can be associated with specific clients or documents, allowing users to get involved with tasks that may be of interest to their cases.
Tasks may be set up by users, but they are also created automatically by the system. For example, when a new document is uploaded to the vault a task will be added to alert involved workers that there is something of interest for their attention.
Pass Attachments
When discussing a task, user may pass attachments, rather like in an email. For example, when preparing a document to be uploaded to the vault it may be more appropriate to pass early revisions between involved workers before actually committing it to the document vault. Or it may be just some useful information that may be assistance to colleagues.
Assign Responsibilities
Tasks may be assigned to users and/or teams, and may also be set priorities and expected completion dates with automated email reminders and notifications.
Users may also ensure continuity by assigning their own responsibilities to another user in their absence. For example, when going on annual leave, a user may designate a colleague to receive their notifications and reminders and to act on their behalf during their absence.
By Client and Document
Tasks may be associated with clients and/or document (in fact this is done automatically with automated tasks such as notification of new documents uploaded). This makes it possible for users to see what tasks are in progress when viewing a client or document.
